How Big of a Tent Do You Need?
The most common question we get before every booking. This guide gives you the exact numbers — guest counts, table layouts, dance floor space, and how Florida's weather affects your choice — so you order the right size the first time.
The Quick Rule: 10 Square Feet Per Guest (Seated at Rounds)
The standard calculation for a seated dinner with round tables is 10 square feet per guest. A 20×20 tent is 400 square feet — comfortable for 40 guests at rounds with a little breathing room. A 20×40 is 800 square feet — seats 80 comfortably.
That said, 10 sq ft per person is the floor, not the ceiling. Once you add a buffet table, a gift table, a DJ setup, or a dance floor, you need more space. Most events we do in Apopka end up sizing up one step from the pure guest count number.

Add Space for These Common Event Elements
The guest count table above is for dining only. Add the following square footage to your total if your event includes any of these:
A 12×12 dance floor (144 sq ft) fits 20–30 dancers. A 16×16 (256 sq ft) is the most common size for weddings and quinceañeras. Add this space to your tent total — most people size up from a 20×40 to a 20×60 when adding a dance floor.
A standard buffet line with two 8-foot tables side by side needs about 80–100 sq ft, plus a 4-foot aisle for the line to form. Place it along the end wall of the tent to keep it out of the main seating area.
A typical DJ setup takes a 8×8 to 10×10 area. If you're pairing with a dance floor, the DJ usually sets up at one end of the dance floor — budget the space together.
One or two 6-foot tables along a side wall. Usually fits within the existing tent size without requiring an upgrade, but worth noting when you're right at the edge of a size.
A standalone bar setup or drink station along a tent wall. If you're doing a full hosted bar with bartenders, add more room for the bar back and coolers.
A sweetheart table for two takes minimal space. A full head table for 8–10 is essentially one long folding table — add one table's worth of floor space to your plan.
Real-World Example: 100-Guest Wedding in Apopka
Here's how most 100-person weddings and quinceañeras in Apopka actually lay out under a tent:
- 12 round tables × 8 guests = 96 seated (+ 4 at sweetheart/head table)
- 16×16 dance floor = 256 sq ft
- Buffet line along one end wall = 100 sq ft

Florida Weather: Why Tent Size Matters More Here Than Most States
In Central Florida, May through September means afternoon thunderstorms — almost every day. Events that start at 2pm often hit a storm window by 4pm. Two things this means for tent sizing:
- Don't size too tight. When guests cluster under a smaller tent during a storm, it gets uncomfortable fast. A 20×40 that seats 80 at rounds starts feeling cramped for 70 people if they're all inside during a rain squall instead of wandering around the yard.
- Sidewalls matter. We include sidewall options on every tent. Add them at booking if you're in the May–September window — they keep rain from blowing in horizontally without making the tent feel closed.
The October–April season in Apopka is ideal for outdoor events — low humidity, no afternoon storms, temperatures in the 70s. Sizing pressure relaxes a bit in the cooler months, but we still recommend the 10% buffer.
Frame Tents vs. High Peak Tents: Does the Style Change the Size?
No — the square footage math is the same for both. The difference is usable floor space:
- Frame tents have no center pole, so every square foot is usable. A 20×40 frame tent gives you the full 800 sq ft of floor space.
- High peak tents also have no center pole — the peaks are structural, not in the floor space. Full square footage is usable on high peak as well.
The choice between them is aesthetic and budget: high peak tents have dramatic cathedral-style peaks that photograph beautifully at weddings and quinceañeras. Frame tents are more neutral and slightly more affordable. Same square footage, different look.
