How to Plan an Outdoor Party in Central Florida
Everything you need to think about before your backyard event — weather, space, power, and what to rent first.
Planning an outdoor party in Central Florida is different from planning one anywhere else in the country. The heat, the afternoon thunderstorms, the unpredictable humidity — it all affects what you need to pull off a successful event. After 500+ setups across Orange, Seminole, and Lake County, here's what we tell every customer before they book.
Start With the Weather — Seriously
Florida weather is not optional to think about. From late May through September, you can expect afternoon thunderstorms almost daily, often appearing out of nowhere by 2 or 3pm. If your event runs into the evening on a summer Saturday, there's a real chance of rain.
The practical takeaway: if you're hosting a summer event outdoors, you need a tent. Not because it will definitely rain, but because if it does and you don't have one, your party is over. A 20×40 tent for 80 people costs a fraction of what you'd spend on a venue — and it's the single best insurance policy for a Florida outdoor event.
Heat is the other factor. Even without rain, a sunny afternoon in July can be brutal. Shade from a tent makes a significant difference, especially for elderly guests and kids.
Measure Your Space Before You Book Anything
The most common mistake we see is people booking a tent without measuring their yard first. A 20×40 tent is 40 feet long — that's a lot of space, and not every backyard can accommodate it.
Walk your yard and measure the usable flat area. Keep in mind:
- Tents need about 5 feet of clearance on each side for stakes and guy lines
- You'll need clear overhead space — no low branches or power lines directly above
- The ground should be reasonably level; a slight slope is manageable but a steep grade isn't
- Leave room for a path from the house to the tent for guests and caterers
If you're not sure whether your space works, text us a photo and your approximate measurements. We've looked at thousands of yards and can tell you quickly whether a setup will work.
Figure Out Power Before You Need It
Tent lighting and fans need a standard outdoor outlet within reach of the tent. Most homes have one on the back of the house — check before you book.
If you're running speakers, lighting, fans, or catering equipment under a tent, you'll want to think about extension cord routing ahead of time. Long runs to far corners of a yard are a tripping hazard if not managed. Tent stakes and cords buried under rubber mats work well.
For large events with heavy power draws (food trucks, commercial sound systems, catering equipment), a generator may be necessary. We don't provide generators but can point you toward local rental options.
Build Your Rental List in the Right Order
This is the order we recommend customers build their rental list:
- Tent first. Everything else fits around it. Get the footprint right before you count chairs.
- Tables second. Your table layout determines how many chairs you need and where everything goes.
- Chairs to match. Round tables at 60 inches seat 8 comfortably. Rectangular 8-footers seat 8–10.
- Dance floor and add-ons last. Once the tent and tables are set, you'll know how much room is left for a dance floor, lighting, and linens.

Book Earlier Than You Think You Need To
Summer weekends in Central Florida — especially May through August — fill up fast. If your event is in June, July, or August and you have a specific date in mind, don't wait until two weeks out. We regularly get calls for peak weekend dates that are already fully booked.
Two to three weeks out is fine for most fall, winter, and spring events. For summer, four to six weeks is better. For weddings and large events any time of year, book as early as possible.
Day-of Logistics That Matter
A few things that make setup day smoother:
- Clear the area beforehand. Move patio furniture, pick up toys, trim any low branches that might interfere. Our crew works fast, but a clear area makes everything faster.
- Tell us about access. Is there a gate? A narrow driveway? We're driving a truck with equipment — knowing ahead of time helps us plan.
- Have someone home. We like to do a quick walkthrough with you to confirm placement before we start, especially for tents.
- Plan for pets. Dogs and equipment don't mix well. Keep them inside or secured during setup and breakdown.
